Application for Permission to Open a Debating Club
Model application to the headmaster for permission to form a debating club.
A group application asking for a room, a day and a moderator so that a debating club can be formed.
How to write it
- Name what already exists before asking for something new — an inter-class debate that went well, or students who have competed elsewhere. A request that shows demand is far stronger than one that asserts a benefit.
- Say concretely what you are asking the school to provide: a room for one afternoon a week, a teacher to act as moderator, and permission to hold a fixture. Vague requests are easy to defer.
- Explain the benefit in one sentence and no more — confidence, quick thinking, English practice — then return to the practical arrangements.
- Offer to do the organising yourselves. A request that costs the school only permission is much more likely to be granted.

With due respect, we the students of classes IX and X beg to state that our school has no debating club, although interest among students is considerable. At the inter-class debate held during the annual programme last year, eleven teams took part and the hall was full, and three of our students have since competed at the district level without any formal practice behind them.
We therefore wish to form a debating club. We request permission to use room number four on Thursday afternoons after the last period, and request that a teacher be appointed as our moderator. The members will manage the arrangements, keep the room in order and maintain a register of attendance themselves. We hope in time to enter the divisional competition under the name of the school.
We, therefore, pray and hope that you would be kind enough to grant us permission to open a debating club and oblige thereby.

Frequently Asked Questions
Show that the demand already exists — a well-attended event, students who have competed elsewhere — then state exactly what you need: a room, a day, a teacher to supervise. Offering to handle the organising yourselves makes the request far easier to grant.
On behalf of the class or the group, and signed by one student "on behalf of the students of Class X". A collective request is more persuasive for a club, and the closing line makes clear whom the writer represents.
One sentence. The headmaster does not need to be persuaded that debating is useful; he needs to know what you are asking for and that it will not create work for him. Space spent on benefits is space taken from the arrangements.
