How to write it

  • Tie the programme to an occasion — a national day, the end of the year, a farewell. A cultural programme without a reason is harder to justify.
  • Give the date, the duration, the venue and the expected audience.
  • Say who will perform and who will rehearse them, and when rehearsals would take place.
  • Address the two usual objections directly: lost class time and cost.

Subject: Application for permission to hold a cultural programme.

Sir

With due respect, we the students of your school beg to state that no cultural programme has been held since the pandemic, and the students now in Class X have never taken part in one. We wish to hold a programme on the afternoon of 16 December, Victory Day, in the school hall.

We propose a programme of about two hours, from three in the afternoon, consisting of patriotic songs, a recitation of poems on the Liberation War, a short drama prepared by Class IX and a dance by the students of Class VI. About four hundred students, teachers and guardians would attend. Rehearsals would be held after school hours on Saturdays and Mondays only, so that no class time is lost, and our music teacher has agreed to supervise them. The students' welfare fund will meet the cost of decoration and refreshments, so no expenditure would fall on the school.

We, therefore, pray and hope that you would be kind enough to grant us permission to hold the programme and to allow the use of the hall on that date, and oblige thereby.
