Application for Permission to Hold a Seminar

An application naming the subject, speakers, date, venue and cost of a one-day seminar.

How to write it

• Say what the seminar is about and who would speak. A request to hold "a seminar" without a subject gives the headmaster nothing to approve.
• Name the audience and the size — which classes, roughly how many students — so the hall and the timing can be judged.
• Ask for the specific things you need: the auditorium, a date, permission to invite an outside speaker, and use of the sound system.
• Say who will bear any cost, even if the answer is that there is none.

Subject: Application for permission to hold a seminar on career planning.

With due respect, we the students of the second year beg to state that most of us will sit the HSC examination next year and have very little guidance about what follows it. Students choose subjects and universities largely on hearsay, and several of last year's batch regretted their choices within a term.

We therefore wish to hold a one-day seminar on career planning in the college auditorium on Saturday, 27 September, from ten in the morning until one. We propose to invite two former students of this college, one now studying medicine and one an engineer, together with a teacher from the department of English to speak on preparing for admission tests. About two hundred students of the first and second years would attend. The students' welfare fund will meet the small cost of refreshments, so no expense will fall on the college.

We, therefore, pray and hope that you would be kind enough to grant us permission and allow the use of the auditorium on that date, and oblige thereby.
