Application for Permission to Form a Science Club

An application asking for a room, laboratory access and a small materials allocation for a science club.

How to write it

• Base the request on something already happening — a fair entry, a project, students building things on their own. Evidence of activity is what distinguishes a real proposal from a wish.
• Be specific about what a science club needs that a science class does not: a room where work can be left out, access to the laboratory outside class hours, and a small store of materials.
• Name a teacher you would like as adviser, if you have someone in mind, and say you have asked.
• Propose a first activity with a date. A club with a plan is easier to approve than a club with an intention.

Subject: Application for permission to form a science club.

Sir

With due respect, we the students of classes VIII, IX and X beg to state that a group of us have been building small projects at home for the past year, and two of our models were displayed at the upazila science fair in February. We have no place in school to work, however, and a project half-finished must be carried home each afternoon.

We therefore wish to form a science club. We request the use of the old store room beside the laboratory, which is at present unused, so that work may be left in progress; permission to use the laboratory on Saturday mornings under supervision; and a small allocation for basic materials such as wire, batteries and card. We have spoken to Sir Abdul Karim of the science department, who is willing to act as our adviser. Our first activity would be a school science fair in November, open to all classes.

We, therefore, pray and hope that you would be kind enough to grant us permission to form a science club and oblige thereby.
