Application for an Additional Classroom

A group application giving the numbers behind overcrowding and proposing a specific room.

How to write it

• Give the numbers: how many students in the section, how many benches, how many are sitting where. Overcrowding is a numerical problem and the application should be numerical.
• Describe the consequence, not the discomfort — students who cannot see the board, a teacher who cannot move between benches, examinations that must be held in shifts.
• Suggest a solution if one is visible: an unused room, a partition, a second shift. A request that proposes something is easier to answer.
• Avoid blame. The tone should be a report of a condition, not a complaint about neglect.

Subject: Application for an additional classroom for Class IX.

Sir

With due respect, we the students of Class IX beg to state that our section now has ninety-four students in a room built for sixty. There are twenty-two benches, so four students sit on most of them and six students have no bench at all and sit on the floor at the back. Those at the back cannot see the board, and the teacher cannot walk between the rows to check our work.

The difficulty has grown worse since the section was merged with the afternoon shift in July. We understand that the room adjoining the library has been unused since the office was moved, and we believe it would hold thirty students. If Class IX were divided between the two rooms, both sections could be taught properly and the annual examination would not have to be held in two sittings as it was last year.

We, therefore, pray and hope that you would be kind enough to arrange an additional classroom for us and oblige thereby.
